What you can do with email integrations

When you connect Gmail or Outlook, Minibuddies agents can:
  • Read and summarize - Scan your inbox, summarize threads, highlight important messages
  • Draft replies - Compose email responses based on context and your tone
  • Search and filter - Find emails by sender, subject, or date
  • Manage inbox - Help with labeling, prioritization, and follow-ups
Agents use your email only when you ask them to. They don’t automatically send or delete anything without your approval. Drafts are typically presented for your review before sending.

Connecting Gmail

Open Integrations

From the dashboard, click Integrations in the sidebar. Find Gmail in the list.

Click Connect

Click Connect or Authorize next to Gmail. You’ll be redirected to Google’s sign-in and permission screen.

Sign in to Google

Sign in with the Google account you use for Gmail. If you have multiple accounts, choose the one you want to connect.

Review and approve permissions

Google will show the permissions Minibuddies is requesting. These typically include read access to your email, the ability to send mail on your behalf (for drafts), and optionally manage labels. Review and click Allow or Continue.

Return to Minibuddies

After approval, you’re redirected back. Gmail should show as Connected. Agents can now use your Gmail when you ask them to.
Gmail connection works with both personal (@gmail.com) and Google Workspace accounts. Use the account that holds the inbox you want agents to access.

Connecting Outlook

Open Integrations

From the dashboard, click Integrations in the sidebar. Find Outlook (or Microsoft 365) in the list.

Click Connect

Click Connect or Authorize next to Outlook. You’ll be redirected to Microsoft’s sign-in and permission screen.

Sign in to Microsoft

Sign in with your Microsoft account (Outlook.com, Microsoft 365, or work account). Choose the account that has the mailbox you want to connect.

Review and approve permissions

Microsoft will show the permissions Minibuddies is requesting - typically read and send mail, and access to your mailbox. Review and click Accept or Yes.

Return to Minibuddies

After approval, you’re redirected back. Outlook should show as Connected. Agents can now use your Outlook when you ask them to.
Outlook integration works with Outlook.com (personal), Microsoft 365 (business), and hybrid setups. If your organization restricts third-party app access, you may need admin approval.

Example prompts for email

Once connected, try prompts like: Summarize inbox:
“Summarize my unread emails from the last 24 hours. Highlight anything urgent.”
Draft a reply:
“Draft a professional reply to the last email from [sender]. Keep it brief and courteous.”
Find specific emails:
“Find all emails from [person/company] in the last week. List the subjects and dates.”
Follow-up:
“Which emails did I not reply to in the last 3 days? List them and suggest short replies.”
Weekly digest:
“Create a brief digest of my most important emails this week. Group by topic or sender.”

Best practices

  • Be specific - Mention time ranges, senders, or topics when asking about your inbox.
  • Review drafts - Always review agent-drafted emails before sending. Edit tone or content as needed.
  • One account at a time - Each integration connects one account. To use multiple Gmail or Outlook accounts, you may need to disconnect and reconnect, or use separate Minibuddies accounts (depending on product support).
  • Security - Don’t share sensitive credentials. Use OAuth only. Revoke access from Google/Microsoft if you ever suspect a compromise.

Disconnecting

To disconnect Gmail or Outlook:
  1. Go to Integrations in the dashboard.
  2. Find Gmail or Outlook.
  3. Click Disconnect or Remove.
  4. Confirm the action.
Minibuddies will no longer access your email. Your Gmail or Outlook account is unchanged; only the connection to Minibuddies is removed. You can reconnect at any time.

Troubleshooting

Gmail connection failed

  • Ensure pop-ups aren’t blocked for minibuddies.ai.
  • Try incognito/private mode or a different browser.
  • Check that you’re signing in with the correct Google account.
  • If you use Google Workspace, your admin may need to allow the app.

Outlook connection failed

  • Ensure pop-ups aren’t blocked.
  • Try a different browser.
  • For work accounts, your organization may restrict third-party apps. Contact your IT admin.
  • Sign out of other Microsoft services and try again.

Emails not showing or outdated

  • Disconnect and reconnect the integration to refresh the connection.
  • Some providers throttle or cache data; a delay is possible.
  • Verify the agent has the right permissions (read access) for the folders you’re asking about.

Agent can’t send emails

  • Check that you granted send permissions during setup.
  • Drafts may require your explicit approval before sending. Look for a send or approve step in the flow.
  • If using a work account, sending may be restricted by policy.
